This policy explains how we manage personal information in connection with our activities and website, www.jhcobasydney.org.au.
What is personal information and why do we collect it?
Personal information is information or an opinion that identifies, or could reasonably identify, an individual. It may include your name, postal address, email address, telephone number and other contact details.
We may collect personal information when you communicate with us, apply for or renew membership, register for an event, support one of our initiatives, subscribe to our communications, or use our website. We collect this information to manage membership and event participation, communicate with you, promote our events and initiatives, and maintain our relationship with our members and supporters.
We may also use your information to let you know about events and activities that may be of interest to you where you would reasonably expect us to do so. You can opt out of promotional communications at any time by following the unsubscribe instructions in the message or contacting us at contact@jhcobasydney.org.au.
Where practical, we will tell you why we are collecting personal information and how we intend to use it at or before the time we collect it.
Sensitive information
Sensitive information includes information about matters such as racial or ethnic origin, religious or philosophical beliefs, political opinions, health information and criminal records. JHC OBA Sydney does not generally collect sensitive information. If it is necessary for a particular activity, we will collect it only with your consent or where permitted or required by law.
Information from third parties
Where reasonable and practicable, we collect personal information directly from you. We may sometimes receive information from a third party, such as an event-registration or communications platform. In that case, we will take reasonable steps to let you know that we have received the information and how we will use it.
Disclosure of personal information
We may disclose personal information to service providers that help us operate our communications, events or website, where you have consented to the disclosure, or where disclosure is required or authorised by law. We take reasonable steps to use reputable providers, but their handling of personal information is governed by their own privacy policies.
Security and retention
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification and disclosure. When information is no longer needed for the purpose for which it was collected, we will take reasonable steps to destroy it or permanently de-identify it, unless we are required or permitted to retain it by law. Membership and related administrative records may be retained for at least seven years after membership lapses.
Accessing and correcting your personal information
You may ask to access personal information we hold about you, or ask us to correct information that is inaccurate, incomplete or out of date. We do not charge a fee for an access request, although we may need reasonable time to respond and may ask for identification before releasing information.
Maintaining the quality of your information
We aim to keep personal information accurate, complete and current. Please let us know as soon as practicable if your details change or you believe any information we hold is incorrect.
